Member Advocacy and Operations Assistant
Reports To: Executive Director
Job Type: Full-Time
Hiring Range: $54,000 up to $61,110 depending upon experience

Job Overview
The Member Advocacy and Operations Assistant will support JESPA’s advocacy, governance, membership, and financial operations. This role is essential in ensuring that JESPA’s programs and initiatives are effectively managed and executed. The ideal candidate will be detail-oriented, highly organized, and capable of handling a variety of tasks that contribute to the smooth operation of the organization. This position involves working closely with the Executive Director, JESPA officers, and other key staff.
Additionally, the role serves as the first line of contact at the JESPA office, helping members navigate JESPA’s eight locals, the Collective Bargaining Agreement, and the school district.
Key Responsibilities
- Advocacy Support:
- Serve as the first point of contact for Education Support Professionals (ESPs) facing workplace issues or questions.
- Assist in tracking member intake issues and grievances using internal databases such as Salesforce and MS Access.
- Maintain and organize electronic files for grievances and advocacy-related documentation.
- Support the preparation and distribution of learning materials and communications for advocacy efforts.
- Coordinate contract study groups, training sessions, and committee meetings for members.
- Governance and Membership:
- Assist the president and other local leaders in maintaining accurate meeting records, including minutes, attendance, financial records and follow-up actions.
- Assist in updating and organizing bylaws and standing rules.
- Support the coordination of elections, ensuring compliance with governance standards.
- Manage JESPA’s membership and advocacy data, utilizing Salesforce, MS Access, the Voter Activation Network, Hustle, OpenPhone, MS Lists, and MS Teams.
- Help organize leadership development workshops and other governance-related activities.
- Financial Support and Bookkeeping:
- Work with the bookkeeper to assist in managing financial records, including managing the dues structure, JESPA expenses, grants, etc.
- Support the JESPA treasurer by preparing financial reports.
- Support the development and submission of grant applications.
- Assist in tracking and reporting data related to membership dues, contributions, and other financial metrics. QuickBooks experience is helpful.
- General Administrative Support:
- Manage scheduling and logistics for meetings, trainings, and events using Microsoft Teams and other tools.
- Assist with the preparation of materials and documents for meetings and presentations.
- Perform other duties as assigned by the Executive Director to support JESPA’s mission and operations.
Qualifications
Education:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Nonprofit Management, or a related field preferred.
Experience:
- Previous experience in administrative support, program coordination, or a similar role, preferably within a nonprofit, union, or advocacy organization.
Skills:
- Proficiency in SQL Databases, Salesforce, MS Access, the Voter Activation Network, Hustle, OpenPhone, and MS Teams.
- Strong organizational skills and excellent written/verbal communication abilities.
- Experience managing financial records and budget tracking.
- Detail-oriented with the ability to manage multiple priorities effectively.
- Spanish-speaking preferred.

Working Conditions
- Environment: Primarily office-based with occasional travel to meetings and events as required.
- Hours: Full-time position, typically Monday to Friday, with some flexibility for evening or weekend events.
